4.22.26 - Staff guide is available at the below link. Credentialing, like any new tech process, is facing some glitches as we roll the Incredable app out to the 300+ members of our Health and Wellness Staff. Thanks for your patience as we work through the issues! Other updates - Org charts and contact info images and pdfs corrected. Health and Wellness Mantras updated, along with the "Elevate Daily Standard." Send me ideas for creature comforts and mantras! Any Incredable or process related credentialing questions should be directed to Justin Sayre, Jamboree Chief Nursing Officer at justinsayre80@gmail.com.

Arrival/Departure Info

  1. Session Dates
    Session 1: July 19–31 (Full Jamboree - early arrivals 7/16-18)
    Session 2: July 19–25 (First Half - early arrivals 7/16-18)
    Session 3: July 25–31 (Second Half - no early arrivals  )
  2. Staff Arrival
    Most staff for sessions 1-2 will need to arrive on July 19. Early staff arrivals are preselected and have generally already been communicated to those needing to arrive early.  Session 3 staff will need to arrive on July 25.

    PLEASE DO NOT ARRIVE EARLIER THAN YOUR SCHEDULED ARRIVAL DATE - ROOM AND BOARD WILL NOT BE ACCOMMODATED. 
  3.  Staff Departure 
    Staff will generally be able to depart after 12:00 PM on July 25 (session 2) or 12:00 PM on July 31 (sessions 1 and 3).

    Arrangements can be made with your clinic or team leads for earlier departure on an as needed/as discussed basis.
  4. Elevated Check-In
    Be PREPARED and BRING PROOF. Paying in full, completing Safeguarding Youth Training, finishing your registration info, and submitting your full AHMR prior to arrival will enable "Elevated check-in" on staff arrival day. This section will be updated with the full criteria, once finalized. Bring paper copies for backup!
  5. Plan travel & arrival
    Confirm your session and start travel planning. Gateways include CRW (Charleston, WV)CLT (Charlotte, NC), the Prince, WV Amtrak Station, and the Ruby Welcome CenterPrivate vehicles may be parked in dead storage at the Summit. We’ll begin assigning early arrival dates as we approach late spring of 2026, but most full session or 1st half session staff will report on July 19, 2026Airport shuttle details will be shared in Spring 2026.
  6. Tenting and cots are provided!  Housing is provided for Health and Wellness staff - four-person wall tents with cotsheated showers available. A few creature comforts go a long way. See the packing list below. Tent assignments are coming in JUNE.
  7. UTV and Personal Vehicle Details
    Proof of the live course UTV training will be requested prior to arrival. This is a one-and-done course if you've already completed the training. There may be live courses offered on-site. Details will be forthcoming. Personal vehicles will likely be placed in storage in Echo and can be accessed during the Jamboree, but driving passes for the Summit will be issued through your team's leadership. DO NOT plan to drive on site unless you've been notified by your team leads.

Action Items! 

  1. Pay your staff fee in full! 

  2. Complete your Annual Health and Medical Record (AHMR) NOW, if you haven't - it's past due!   Online AHMR submission through the Jamboree registration app is open. Schedule your physical and complete/upload a scanned copy of Part C to be cleared to attend. Part C can be uploaded as late as June 21. Please also review the Jamboree Risk Advisory and discuss any chronic medical conditions or potential increased risks with your clinician during your physical, then complete that questionnaire online.
  3. Finish your Credentialing - Mental Health, Medical Staff   Summit Health Services Permit (SHSP) and other credentialing documentation will be requested after April 21, 2026, to comply with WV state guidelines for issuing permits. See below for a link to credentialing instructions. DO NOT download the Incredable app until your credentialing invite is sent. You will be notified when this is happening. Have your state licenseCPR/ACLS (and other role-specific certifications) ready. Licenses and other certifications must be current and valid through the end of the Jamboree. Detailed instructions are available above. (Retired clinicians must hold an active license and have practiced within three years of the Jamboree.)
  4. Help source donated supplies (optional)  If you have access to medical supplies or other donations (e.g., dressings, splints, OTCs, gloves, tape), please REACH OUT FIRST so we can coordinate needs, quantities, and shipping. Materials can then be shipped to:

  5. SWAG drops AGAIN!  A selection of Health & Wellness-branded apparel is available for purchase and shipment to Jamboree through 11:59 pm on 5.2.26.  Apparel will not be sold on site, but patches may be available.
  6. Elevate YOUR Well-Being  See tips for your personal health and wellness below. 
  7. Food Drive  Please bring 2 or more items to donate for the Jamboree food drive. It supports food insecurity in the immediate surrounding area. If you aren't planning to pack items, a small donation in support can also be made at the Jamboree.
